Digital signing and distribution of documents take place between the document creator (HR representative), the signatory (manager), and the document holder (employee). In the KADRIS 4 system, a dedicated user interface is available for uploading documents, selecting signatories, signing, editing, and sending documents to designated signatories. This process involves interaction between the HR Portal (document creator), Manager Portal (document signatory), Personal Portal (employee as the document holder), and again the HR Portal (for notifications about the signed document).
To carry out this process, a qualified digital certificate issued by a trusted certification authority is required. The employer must obtain such a certificate for both natural persons (employees) and legal entities (the employer). If the employer already uses a digital signing system provided by vendors such as ePERO, Rekono, Konica Minolta, etc., metadata and PDF documents from the KADRIS 4 information system can be transferred to the selected vendor’s signing system and then returned to KADRIS 4, specifically, to the employee’s Personal Portal.
Documents generated in the KADRIS 4 system can be archived through integration with external e-archive or document management system providers, such as Mikrografija, Mikrocop, Mentis, and others. This integration enables the automatic transfer of documents and/or employee data from the KADRIS 4 system to the selected provider’s system. In addition, archived documents can be viewed directly within KADRIS 4, giving users centralized access to all important content.
